1. Who we are
ClientFive is a client relationship and productivity workspace for freelancers, virtual assistants, and service providers. This policy applies to ClientFive websites, web apps, accounts, dashboards, tools, integrations, and related support communications.
2. Information we collect
We collect information you provide directly, including your name, email address, account credentials, profile details, client records, notes, tasks, invoices, time entries, uploaded files, support messages, and app preferences.
We also collect usage and device information such as log data, browser and device type, IP address, pages viewed, feature activity, approximate location derived from IP address, cookie identifiers, and diagnostic information needed to keep the service reliable.
3. Integrations and connected services
If you connect a third-party service, such as Google Calendar, ClientFive receives the information allowed by that service's permission screen. We use connected-service data only to provide the features you enable, such as calendar views, reminders, client context, scheduling workflows, or related productivity tools.
ClientFive's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising.
4. How we use information
We use information to:
- Provide, operate, maintain, and improve ClientFive.
- Create and manage accounts, authentication, dashboards, and saved user data.
- Power client management, relationship health, invoicing, calendar, and VA Tools.
- Send service messages, product updates, security notices, and support responses.
- Analyze performance, fix bugs, prevent fraud, and protect the service.
- Comply with legal obligations and enforce our terms.
5. Cookies and similar technologies
We may use cookies, local storage, and similar technologies to keep you signed in, remember settings, measure usage, improve performance, and protect accounts. You can control cookies through your browser settings, but some features may not work without them.
6. How we share information
We do not sell personal information. We may share information with vendors and service providers that help us run ClientFive, including hosting, database, authentication, analytics, payments, email, storage, AI infrastructure, security, and customer support providers.
We may also share information if required by law, to protect rights and safety, to prevent fraud or abuse, in connection with a business transaction such as a merger or acquisition, or with your direction or consent.
7. Your content and client data
You retain ownership of the content and business data you add to ClientFive. We process that information to provide the service and related support. You are responsible for making sure you have permission to add client, customer, or third-party information to ClientFive.
8. Data retention
We keep information for as long as needed to provide ClientFive, maintain records, resolve disputes, enforce agreements, improve security, and comply with legal obligations. If you delete account data, we remove it from active systems where reasonably possible, subject to backups, security logs, fraud prevention, and legal requirements.
9. Security
We use reasonable technical and organizational safeguards designed to protect personal information. No internet service is completely secure, so we cannot guarantee that unauthorized access, loss, misuse, or disclosure will never occur.
10. Your US privacy choices
Depending on where you live, including states such as California, Colorado, Connecticut, Utah, Virginia, and other states with privacy laws, you may have rights to request access, correction, deletion, portability, or additional information about personal information we process. You may also have the right to opt out of certain targeted advertising, sales, or profiling where applicable.
ClientFive does not sell personal information as that term is commonly used. If we ever use technologies that are considered a sale, sharing, or targeted advertising under applicable law, we will provide a way to opt out. We will not discriminate against you for exercising privacy rights.
11. California notice
California residents may request more information about the categories of personal information we collect, the sources of that information, the business or commercial purposes for collection, the categories of recipients, and the specific pieces of personal information we maintain about them. California residents may also request deletion or correction, subject to legal exceptions.
12. Children
ClientFive is not intended for children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can take appropriate action.
13. International users
ClientFive is operated for users in the United States and may use service providers in the United States and other countries. If you access ClientFive from outside the United States, your information may be transferred to and processed in countries with different privacy laws than your location.

We may update this Privacy Policy from time to time. When we do, we will update the date above and post the new version on this page.
